Project Officer

A. Responsibilities of the Position

The main role of the Project Officer (Advocacy, Legal Service, and Research Department) is to be responsible for project implementation of the EIDHR Fund “Catalysing and strengthening gender equality advocacy in shrinking civic spaces and conservative environments”. 

1. Project Management

  • Support partners to manage all aspects of the project cycle including planning, implementation, and monitoring. 
  • Ensure all project documentation and reports are produced on time. 
  • Coordinate with partners for timely submission of reports. 
  • Work with the project team of EIDHR Fund to review the progress reports, analyse, monitor, and timely feedback to the partners. 
  • Develop and implement projects and work plans on annual/six monthly/quart Carry outis. 
  • Carryout regular field visits to ensure smooth implementation of project activities.
  • Prepare briefing papers/project updates for periodic review meetings. 
  • Compile project beneficiary case studies when required. 
  • Support PM in new project proposal writings, when required. 
  • Assist in the development of module for workshop under the project funding
  • Any other task assigned by the PM.

2.  Partnership Development

  • Maintain and strengthen and coordinate partnership meetings with other implementing partners. 
  • Support the PM in networking with key stakeholders working on the project activities. 
  • Support the PM and legal unit in building project staff capacity in program management.

3. Advocacy

  • Participate in SIS activities as required by management.
  • Assist colleagues in conducting workshops, forums, and conferences. 
  • Represent SIS at conferences, international meetings, seminars, media interviews and workshops and support the PM in raising the organisational profile.
  • Represent SIS as media spokesperson when required.
  • Engage with community leaders, MPs, ADUNs and stakeholders.

4.  Networking 

  • Promote the work of SIS and represent SIS at national, regional and international meetings, seminars, workshops, and conferences;
  • Develop and maintain strategic relationships with other women’s groups, government agencies, religious institutions and others to promote the work and interest of SIS;
  • Liaise with women’s groups, other NGOs and civil society groups, other target groups such as government agencies, student and youth organisations to promote the work and interests of SIS;
  • Contribute to the strengthening of teamwork and team spirit at SIS, including organising staff discussions and social gatherings.

5.  Financial and Resource Management

  • Work closely with the Finance & Support Services department to help prepare to monitor expenditure and budget.

6. Networking

  • Liaise with other women’s groups, NGOs, government agencies, religious institutions and others to promote the work and interest of SIS.
  • Build allies for policy and reforms

7. Organisational Development (General)

  • Report regularly to the Manager of the ALSR unit on the progress of work to inform of any issues which are potentially constructive or detrimental to the organization.
  • Contribute to the development and submission of funding narrative and budget proposals
  • Participate in staff meetings, management team meetings and in board meetings when necessary
  • Contribute to the strengthening of teamwork and team spirit at SIS

8. Others

  • Conduct all administrative tasks related to your job function with efficiency and effectiveness
  • Submit quarterly written report on your core areas of work and projects to PM
  • Carry out other duties as may be reasonably required to meet the primary objectives of the organisation.

B. Accountability

The position is directly accountable to the Executive Director.

C.    Required Qualifications & Experience

  • Bachelor’s Degree – relevant field
  • Minimum of 2 years of working experience
  • Team player with the ability to work independently and manage multiple tasks;
  • Good command of English and Bahasa Malaysia;
  • Willing to be involved in public advocacy work or event;
  • Passionate to work with an NGO.
